As we continue to grow, we are seeking an In-House Bookkeeper who sees finance not just as recordkeeping, but as strategic stewardship of a thriving law practice.

Position Overview

The In-House Bookkeeper serves as the financial backbone of the firm. This role ensures the integrity of all trust and operating accounts, protects the firm’s compliance with IOLTA regulations, and provides accurate, timely financial reporting to leadership.

This position works directly with the CEO and Operations leadership and plays a key role in managing cash flow, settlement disbursements, payroll coordination, and financial forecasting. The ideal candidate thrives in a fast-paced, high-accountability environment and takes ownership of financial precision.

Key Responsibilities

Trust & Operating Account Management

  • Maintain and reconcile attorney trust (IOLTA) accounts in compliance with state bar regulations
  • Perform three-way trust reconciliations (client ledger, trust account, bank statement)
  • Process client settlements, disbursements, lien payments, and provider payments
  • Audit settlement statements prior to disbursement
  • Maintain real-time trust ledger accuracy across all active cases
  • Monitor lien resolution and disbursement timelines
  • Proactively identify and resolve trust discrepancies
  • Maintain accurate client cost and settlement records

Accounts Payable & Receivable

  • Process vendor invoices and firm expenses
  • Monitor case costs and reimbursements
  • Manage high-volume invoice processing with 2-way and 3-way matching
  • Resolve discrepancies while maintaining accurate financial records
  • Manage vendor relationships

Payroll & Benefits Coordination

  • Coordinate payroll processing and payroll tax compliance
  • Maintain employee compensation and benefit records
  • Track PTO and accruals
  • Assist with compliance documentation and audits

Financial Reporting & Strategic Support

  • Prepare monthly financial reports including P&L, balance sheet, and cash flow statements
  • Deliver monthly financial performance summaries to CEO
  • Assist with budgeting and forecasting
  • Track KPIs related to case cost recovery and disbursement timing
  • Identify expense inefficiencies and process improvements
  • Coordinate with CPA for tax filings and year-end reporting
  • Ensure compliance with legal accounting regulations

Systems & Process Management

  • Manage accounting software including QuickBooks
  • Optimize workflows between case management software and accounting systems
  • Document and improve financial procedures as the firm scales
  • Maintain secure and confidential financial records

Qualifications

1. Required:

  • 3+ years of bookkeeping experience
  • Experience with trust accounting and IOLTA compliance
  • Proficiency in QuickBooks
  • Strong understanding of contingency fee structures and settlement disbursement processes
  • Exceptional precision and zero-tolerance for accounting errors
  • Ability to manage high-dollar settlement disbursements with confidence
  • Ability to handle confidential financial information with utmost discretion

2. Preferred

  • Experience in personal injury law
  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field
