Front Desk Administrative Assistant
Burress Law, a high-level and rapidly growing plaintiffs’ personal injury firm, is seeking a full-time Front Desk Administrative Assistant who wants more than “just a job.” This is a highly promotable position.
Why This Role Is Different
- Clear growth path: We intentionally hire this role as a launchpad into the firm, and the last 6–7 front desk teammates have all been promoted to more advanced positions.
- High-impact work: You will be the first impression for our clients and an integral part of a team committed to winning for injured clients and their families.
- Tight-knit, winning culture: We are a collaborative, high-performing team that values accountability, initiative, problem-solving, and punctuality.
What You’ll Do
You will own the front desk and be the hub for both client experience and day-to-day office operations.
Reception & Client Experience
- Answer and direct incoming phone calls to the appropriate staff.
- Greet, check in, and direct clients and visitors, ensuring the lobby and conference rooms are tidy, welcoming, and reset between meetings.
- Manage and update the office calendar, including scheduling meetings and appointments and preparing conference rooms and materials for closings, depositions, and in-person consults.
Administrative & Office Operations
- Process and direct mail and incoming packages; scan and route documents and send mail notifications as needed.
- Order and take stock of office supplies; keep coffee bar, water, and snacks stocked and presentable.
- Prepare documents as needed and assist with processing and coordinating invoices and payments.
- Handle client, expense, and provider checks following firm procedures, including scanning, saving to correct folders, preparing envelopes/packets, and mailing.
- Support basic technical troubleshooting (Wi-Fi, phones, printers) and coordinate with building or tech contacts when issues arise.
Daily Opening & Closing
- Open the office each morning (coffee on, lobby TV/music, walk-through for cleanliness, conference rooms and materials prepared).
- Close the office each evening (reset coffee, restock snacks, tidy lobby and conference rooms, shut down TV/music, clear and organize the front desk).
